From mid-September 2024, GradesPlus will allow Subject Coordinators and Grade Faculty Administrators to submit final grades, marks and an Authority to Vary Results (AVR) for a subject in Canvas. This page provides information on how to submit AVRs using GradesPlus.
Information on how to Submit Grades can be found in the resource Submitting grades using GradesPlus.
You can only submit an AVR for a student once the grades submission period has ended for your teaching session. The Review and Submit Grades button will be replaced by a Create AVR button.
If your Canvas course has ended, you’ll be prompted to re-open it for five days. You can re-open your Canvas course as often as necessary, without affecting students.
Only one AVR Reason is permitted at a time. You will need to select students in separate batches and repeat steps 7–14 if there are any students with different reasons for an AVR.
To submit revised grades for students as an AVR in Canvas:
When an AVR has been submitted successfully, a confirmation will display at the top of the screen, and the Submission Status will change to ‘AVR pending’.
You will also receive a confirmation email. The confirmation email will contain the:
The selected RAO will be automatically notified once an AVR request has been submitted, but approvals depend on when the selected RAO can respond. You will receive updates via email.
Table 1 describes AVR Submission Statuses.
AVR Status | Description |
AVR Pending | An AVR has been submitted for this student and is awaiting approval by the RAO. |
AVR Approved | The AVR has been approved by the RAO and the results have been sent to CASS. |
AVR Denied | The AVR for this student has been denied by the RAO or the AVR has not been approved within 18 business days and has automatically been rejected. |
AVR/Submission Failed | An error occurred with the Submission or AVR. Try submitting again and lodge a ServiceConnect request with ITU if the problem continues. |
Submission Not Allowed | Grades/AVR submission for this student is not allowed due to an enrolment issue or an active misconduct sanction. |
Check the progress of an AVR request by viewing the ‘Status’ column in GradesPlus. The Submission Statuses update at different times. Submissions and errors will be listed immediately, but RAO approvals will take time.
A student can only have one AVR request per subject in progress. If you need to change or cancel an AVR request, contact the RAO selected when the AVR was submitted and ask them to ‘Deny’ the request. This will allow you to select the student again so you can submit a new request with updated information.
If you have a Grades Faculty Admin (GFA) role in Canvas for a faculty or school, in the Canvas Admin tools (1), you will find a link to GradesPlus (2). This GradePlus mode provides access to the history and statuses of AVRs and Submissions (3) in your faculty or school.
You can search by AVR or Course and filter by submission status (4). For GFAs, this GradesPlus view can be a helpful tool to check the status of AVRs and submissions or provide some troubleshooting assistance.
LX Lab does not support Salesforce. Any issues with Salesforce should be escalated to ITU via ServiceConnect.
If you are an RAO who needs to approve AVRs and your name does not currently appear in the list of RAOs in GradesPlus, submit a request through ServiceConnect.
Download the PDF guide or watch the Salesforce video below for step-by-step instructions on approving or rejecting AVRs in Salesforce.
